The Microsoft Alumni Foundation (MSAF) Privacy Statement (Statement) is designed to help you understand how the Microsoft Alumni Foundation collects personally identifying information about you and how we use and disclose that personal information. The Microsoft Alumni Foundation is committed to protecting your privacy. This Statement applies to data collected by MSAF through the MSAF web site, as well as its offline services. 1. Collection of your personal information

We collect personal information that you actively provide to us through the use of the MSAF website and via other methods, such as when you volunteer, sign up to receive a newsletter or request other information, when you send us an inquiry, when you choose to make a donation, fill out a nomination form, or provide personal information in response to other opportunities on the site. In connection with these activities, we may collect the following personal information about you such as, but not limited to: name, address, telephone number, company name, email address, credit/debit card or other payment related information.

It is always your choice as to whether to provide personally identifiable information on the MSAF website. However, some of your personal information must be provided to participate in certain programs or activities in which you choose to participate. Should you choose not to provide information, this could limit or eliminate certain functions of the site or your ability to benefit from the services you have requested.

2. Use of your personal information

We use the personal information you share with us to complete the services you request on the site, such as but not limited to: process your donations; notify you of volunteer and other opportunities for which you have requested information; send you newsletters; process submitted nomination forms, complete surveys; and respond to other requests for information. We may also from time to time use your personal information to send you automated email messages when you have chosen to receive such communications.

You may choose not to receive email messages by checking the box beneath where you enter your email address at the time of submitting your personal information to us. You may also choose not to receive email messages at any time by clicking an 'unsubscribe' link contained in any promotional or other emails that we send to you. We will not share your personal information with other organizations except as set forth in this Privacy Statement.

3. Sharing of your personal information

The Microsoft Alumni Foundation does not share, rent, or lease your personal information to any third party organizations except for those who are working on our behalf to provide a service that you have requested through the use of our web site.  

We use your personal information to pursue our mission and operations and to engage in the activity (and related activities) for the purposes which you have shared the information with us. For example: if you sign up for our newsletter, we'll email the newsletter and we will add you on our mailing list; if you contribute a donation, we will use the information to process the request and share your contact information with third party nonprofit organizations with whom you have chosen to contribute. We will use all information for all lawful purposes only.

Subject to applicable law, we reserve the right voluntarily or involuntarily to make all lawful, worldwide uses of personal information, including without limitation, to: collect, use, access (or bar access), process, fulfill, disclose, display, share, respond to legal process or otherwise exercise our rights under applicable law, transfer, store, sell, lease, retain, commingle, investigate, verify, prove, enforce, delete, and otherwise deal with personal information, and information other than personal information, voluntarily or involuntarily.

MSAF works with third party organizations on certain programs, and often those third parties own and/or are responsible for that program’s website. In those cases, if you provide personal information, you will be giving it to a third party and their privacy policy will apply. You agree that if they provide it to us then we may apply our Policy to what we receive.

4. Protection of Your Personal Information

Pursuant to applicable regulations, we maintain reasonable technical and organizational measures to help protect your personal information against accidental or unlawful destruction or accidental loss, alteration, unauthorized disclosure or access. We use secure socket layer (SSL) encryption technology on our website to help protect your payment card information that we collect when you make a donation.

Unfortunately, no information security system can be 100% secure. As a result, although we strive to protect your personal information, we cannot ensure or warrant the security of your personal information against any possible loss or unauthorized access. 

We keep personal information for as long as we think is necessary or advisable and we reserve the right to retain it to the full extent prohibited by law. We may discard personal information in our discretion, so you should retain your own records, and not solely rely upon our storage of any personal information, donation information or other data.

5. Access to Your Personal Information

You can access, correct and update your personal information by contacting us at the contact information as described in the How to Contact Us section of this Privacy Statement.

6. Use of this Site by Children

We do not intend to collect information from children. Please do not provide any personal information to our website unless you are at least 13 years of age. Parents and guardians, please caution your children not to provide any of their personal information to this website. If a child under 13 has provided personal information, a parent or guardian may inform us by writing to our contact address and we will use commercially reasonable efforts to delete it from our database, subject to applicable law and this Privacy Statement.

7. Use of Cookies, Web Beacons

In addition, we may collect some information automatically from visitors to this website through the use of "cookies", "web beacons" and other tracking mechanisms. For example, the we may collect: your domain name and host for Internet access; the Internet address of the site from which you came; the date and time of your access; your computer's IP address and information about its operating system, browser and host; the date and time you access the Site and the pages you visit. If you do not want to receive cookies, you may set your browser to reject them. However, if you turn cookies off, you may not have access to some of our website’s services and features. Unless you have adjusted your browser setting so that it will refuse cookies, our system will issue cookies when you access our website. We also may employ web beacons from third parties to help us compile aggregated statistics regarding the operations of our site. We prohibit web beacons on our site from being used by third parties to collect or access your personal information.

When you receive newsletters or promotional email from MSAF, we may use web beacons, customized links or similar technologies to determine whether the email has been opened and which links you click in order to provide you more focused email communications or other information, to help us record metrics to enhance your experience on our web site.

8. Communications Preferences

MSAF sends out an email Newsletter and periodic emails notifying you of upcoming events, activities and other MSAF related information.   If you receive promotional e-mails from us and would like to stop getting them in the future, you can do so by following the directions in that message. 

To help manage its communications, MSAF uses Constant Contact. If you chose not to receive an MSAF communication sent via Constant Contact you will be choosing not to receive any MSAF communications sent via this service.  If you wish to not receive one type of communications from MSAF (like the Newsletter, but still want to receive email from MSAF), please email us at: info@microsoftalumni.org and we will remove you from that distribution list and keep you on other types of communications distribution lists, per your request.

Your choice to not receive promotional emails from MSAF does not apply to the receipt of mandatory service communications that are considered part of the operational elements of the Foundation.  For example, if you signed up to attend an event and the event details have changed, MSAF will send you an email with information regarding the changes to the event.

9. Enforcement of This Privacy Statement

This Policy is part of and supplemented by our Terms of Use, which together with any supplemental privacy policy form a contract. If there is a conflict between the Terms of Use and this Policy, the latest version of this Policy will control. We and you are bound by the Terms of Use, including this Policy. If you think we are in default, you may contact us by writing to Our Address For Legal Notices. There are no third party beneficiaries of this Policy.

10. Changes to this Privacy Statement

If we make any material changes to this Privacy Policy, we will post an updated link on the home page of the website that indicates a Newly Revised Privacy Statement with a summary notification about the changes. We encourage you to check this website periodically to see if any recent changes to this Privacy Statement have been made. You can also tell if this Privacy Policy has changed recently by reviewing the Effective Date posted at the beginning of this Privacy Statement.
